Our client, a REIT, is seeking an Administrative Assistant in their NYC office. The ideal candidate should possess a self-starting, positive attitude that can work well independently, with limited direction.

Primary Responsibilities:

  • Serve as a point of contact and gatekeeper for asset management team
  • Manage calendar and appointments for the department head
  • Perform general admin and clerical duties (mailing, filing, courier service, messengering, photocopying, and answering phones)
  • Format presentation and materials according to company guidelines
  • Prepare meeting requirements (reproduction and distribution of meeting materials)
  • Act as liaison among internal departments and external clients
  • Manage the invoice and check process related to property matters
  • Maintain planning logistics for domestic and international trips
  • Prepare and track expense reports in a timely manner ensuring accuracy and submission are handled in accordance with the firm policy

Qualifications and Requirements

  • 1+ years of experience; finance / real estate support experience would be a plus
  • Undergraduate degree required
  • Highly developed organizational skills: able to anticipate change, problem solve, respond accordingly, and initiate steps for optimal outcome
  • Excellent oral, written and interpersonal communication skills
  • Excellent time management skills with demonstrated ability to multi-task and prioritize
  • Great attention to detail with a keen sense for managing data and presentations
  • Self-starting, positive attitude that can work well independently, with limited direction
  • Advanced knowledge of Microsoft Office Suite: Word, Excel, PowerPoint and Outlook
